Project coordination is responsible for effective internal and external communication, organisation and problem-solving within a project to ensure that it runs smoothly and achieves its objectives.
Internal communication, organisation and problem solving
The project coordinator ensures the smooth running and coordination of all project activities by ensuring that resources are utilised effectively, deadlines are met and all team members are aligned towards common goals. It is responsible for communication between various stakeholders such as the project team and university committees and funder (Foundation for Innovation in Higher Education), monitoring the progress of the project and solving problems in a timely manner to support the successful achievement of the project goals.
Some of the measures for internal communication, organisation and problem solving
- Networking meetings: all project members meet twice a year to exchange information
- A steering committee for each of the project pillars plus a video production steering committee: twice a year, all members of a project pillar (Boost, Skills, Support) meet to discuss the progress of the project in the project pillar.
- Steering committee: twice a year (or as required), those responsible for the Boost, Skills and Support project pillars meet with project management and project coordination to discuss the progress of the project and plan future steps.
- Meetings of the members of a measure: these are usually organised decentrally; if necessary or for special reasons, they are organised by the project coordinator.
- Newsletter: A newsletter on project news and internal and external dates is sent to all project participants at irregular intervals.
- Documentation of the project on Confluence and on a shared drive
- Use and provision of JIRA as a project management tool for Boost project members
- Financial management and calls for funds
- Annual factual and financial reports to the Stiftung Innovation in der Hochschullehre
External communication
The successful communication of the results and lessons learnt of the project to the outside world, the "visualisation", is a further focus of the project coordination, which will become increasingly important as the project progresses. The aim is to ensure that the materials created as Open Educational Resources (OER) in the digit@L project are easy to find, widely used and disseminated.
External communication also includes dialogue with other units and projects for possible cooperation and inspiration.
Some of the measures for external communication
- Attendance at conferences, meetings and network meetings of project participants and/or the project coordinator, e.g. ILIAS Conference 2023, TURN23 and 24, University:Future Festival 2023
- Presentation of the project within and outside the University of Stuttgart, e.g. in committee meetings or on the Day of Teaching and Learning
- Website of the project
- Visual presentation of the measures through illustrations by Jai Wanigesinghe
- Use of the university's communication channels to promote the project's output and events (workshop series "Fit in Ilias", event series "Strengthening digit@L teaching")
