Background information

When a simple spreadsheet is no longer enough to organize an event and know who is attending, a conference management application is helpful.
Research conferences, meetings, large on-site events with registrations and complicated participant management are easier to organize with software.
This is what such application should be able to do, for example: Accept registrations, manage contact details, call for contributions, communicate event programs or process payments if it is a paid event.
The Agility Lab is examining which technical solutions for organizing events are currently in use at the University of Stuttgart.
We check whether software is particularly suitable (e.g. from a data protection perspective) in order to be able to generally recommend it. We also check whether central procurement would be worthwhile or whether events are always planned so individually anyway that no general statement can be made.
Survey on conference management application
With the survey, we would like to check whether a certain conference management application is particularly suitable for the University of Stuttgart, e.g. whether it can be generally recommended or procured.
1 Controller and data protection officer
Information on the controller and the data protection officer can be found in the university's privacy policy.
2 Description and categories of data
Questions of opinion, attitude and experience are recorded. Personal contact details are also optional.
Your entries in the form will be used to generate an e-mail to the Agility Lab's functional account at the University of Stuttgart. In addition to your entries in the form fields, the date and time are recorded in the generated e-mail.
3 purpose
Agility would like to use the answers to check whether it makes sense for the university to procure conference software. In addition, an overview of the most necessary functions of such software should be created so that a suitable license can be found if necessary.
4 Legal basis
The legal basis is Art. 6 para. 1 lit. a GDPR in conjunction with Art. 6 para. 3 GDPR in conjunction with § 4 Landesdatenschutzgesetz.
5. recipient
The collected data is made available in a table to employees of the Agility Lab of the University of Stuttgart.
6. duration of storage
The data will be deleted no later than one year after collection.
7 Consequences of non-disclosure, possibility of objection or removal
Participation in the survey is voluntary. Only information from the survey will be included in the survey.
